Person in charge of the protection of personal information

Gestion IFY is responsible for the personal information it holds. The role of person in charge of the protection of personal information is held by the management of Gestion IFY. For any question about this policy, your information, or to exercise your rights: location@ify.immo or 438 500-5808.

Information we collect

• Rental application: identity (including date of birth, used for the credit check) and contact details, information about your housing, employment and income situation, your references (name and phone number of your current and previous landlords, your employer’s contact details and your supervisor’s name, whom we may contact as part of the pre-rental screening) and your signature (no identity documents and no social insurance number) — only what is needed to review your application. If you apply as a guarantor, we collect the same information about you.
• Visit booking: name, email, phone, number of people, desired move-in month, smoking status, pets and, if you wish, the unit you are interested in and a message — to arrange the visit and check that a unit may suit you.
• Contact form: name, email, phone (optional) and your message, so we can reply.

Use and disclosure

• To review your rental application and communicate with you.
• With your explicit consent, to perform pre-rental screening: credit and reference checks with personal information agents (notably CORPIQ), financial institutions, insurers, employers and current or previous landlords.
• This information is accessible only to the members of our team who need it, including the person showing the building, who is notified by email or text message.
• Your information is never sold or shared with third parties for commercial purposes.

Retention and security

• Information submitted through the form is transmitted encrypted (HTTPS) directly to our team; the website does not store your file. If a submission fails for a technical reason, a copy may be kept for up to 7 days in our processing system, then it is deleted automatically; a technical error log, which does not contain your answers but may exceptionally include a contact detail (email or phone), may be kept longer so we can fix the problem.
• The form draft is saved only on your own device, and you can erase it at any time.
• We keep information for as long as needed to review your application and meet our legal obligations, then destroy it securely.

Cookies and third-party services

• The site uses no advertising trackers and no analytics tools.
• The site is hosted by Cloudflare, which processes the technical data needed to display and secure it (for example your IP address).
• Visit booking is powered by Microsoft Bookings (Microsoft 365); the information you enter there is processed by Microsoft under its terms and privacy policy.

Communication outside Québec

• Some of our service providers — notably the visit-booking platform (Microsoft Bookings / Microsoft 365), our email services, our text-message service (Twilio) and our web host (Cloudflare) — may host or process information outside Québec, including in data centres located outside Canada. Information transmitted to them may therefore be stored outside Québec.
• We limit these transmissions to the information necessary for the service concerned.

Your rights

• You may request access to the information we hold about you, its correction, or the withdrawal of your consent by writing to location@ify.immo.
• For computerized personal information you have provided to us, you may also request a copy in a structured, commonly used technological format (right to data portability).
• We respond to any written request within 30 days, after verifying your identity.
• Complaints: you may send a written complaint to the person in charge of the protection of personal information at location@ify.immo; we acknowledge it and reply in writing within 30 days. You may also, at any time, contact Québec’s Commission d’accès à l’information (cai.gouv.qc.ca).
